Legal Administrative Assistant - Litigation - Detroit Office - Hybrid Role

Miller Canfield, an international law firm, seeks a high-level experienced Litigation Legal Administrative Assistant for its Detroit, Michigan office.  We are looking for a flexible team player who enjoys a fast-paced environment and is motivated to learn and grow with the firm.

Duties and Responsibilities

  • Assists in preparation of legal documents, correspondence, memoranda, and briefs.
  • Types, transcribes, revises and proofreads legal documents accurately, prioritizes assignments, and meets specific deadlines on projects.
  • Reviews and edits documents for accuracy and arranges for timely filing of documents.
  • Prepares expense reports, check requests and reimbursement requests.
  • Performs caseload and database management of files and extensive e-filing in State and Federal Courts.
  • Assembles, organizes and prepares documents for filing into our document management system.
  • Coordinates client billing matters; assists with client billing process.
  • Input attorneys’ time entries into our billing system.
  • Coordinates schedules; arranges meetings and reserves conference rooms.
  • Makes travel arrangements and prepares itineraries.
  • Processes all mail, both postal mail and emails; reviews and routes incoming mail; prepares and processes outgoing mail, arranging for specialized mail or messenger services as required.
  • Performs other duties as assigned.

Knowledge, Skills and Abilities Required

  • Must have a minimum High School Diploma/GED.
  • Proficiency with Microsoft Office programs and excellent computer, organizational, spelling, grammar, and time management skills.
  • Knowledge of the complete litigation process.
  • Knowledge of electronic filing in State and Federal Courts.
  • Ability to docket and follow-up on court dates.
  • Ability to work with digital dictation software.
  • Ability to work and manipulate PDF and Word documents; familiar with redlining and comparing documents.
  • Ability to proofread typed material for errors.
  • Ability to communicate both orally and written effectively, courteously, and professionally with all firm employees, clients, and visitors.
  • Ability to organize and prioritize numerous tasks and complete them under time constraints and work overtime, as necessary.
  • Ability to work collaboratively in a team; proactively demonstrate teamwork and communication with team members and all Firm personnel.
  • Ability to work autonomously and with discretion.
  • Ability to handle a very busy desk with multiple projects.
  • A minimum 3 years previous litigation legal experience required in order to effectively perform with minimal supervision.

Legal Administrative Assistant - Public Finance - Detroit Office - Hybrid Role

Downtown Detroit office of major law firm seeks experienced legal administrative assistant to work in the Public Finance DepartmentCandidate must have excellent computer skills, including Microsoft Word, Excel and PowerPoint, and strong organizational and time management skills.  Candidate should also be comfortable working with numbers, have the ability to multi-task, and work well within a team as well as independently.  Experience in a transactional setting is preferred but not required.  Excellent benefits package, salary commensurate with experience. 

Essential Duties and Responsibilities: 

Furnish administrative and secretarial support for multiple attorneys including, but not limited to:

  • Assist in preparation of transactional documents, correspondence, disclosure documents and closings
  • Input attorney time entry and review, prepare and edit complex client billings
  • Filing in document management system
  • Manage with maximum efficiency multiple attorneys’ practices and document management
  • Ensure proper setup, management and billing of client files
  • Manage client intake process
  • Perform administrative tasks, such as opening files, processing check requests and expense reimbursements, maintaining department charts and records, making travel arrangements, and scheduling appointments
  • Learn proprietary software or programs that may be in use in the department

Knowledge, Skills and Abilities Required:

  • Provide high level client service by possessing and utilizing strong, interpersonal verbal and written skills with attorneys, staff and all levels of management, as well as the firm’s clients and external contacts
  • Transactional legal experience preferred but will train the right person
  • Thorough knowledge and use of technology, including Microsoft Office, PowerPoint, and Excel
  • Keep abreast of practice area processes as appropriate to the position
  • Take initiative to learn new skills that will contribute to enhanced performance
  • Ability to organize and prioritize numerous tasks and complete them under time constraints
  • Impeccable attention to detail

Education/Training/Experience:

  • Minimum: High school diploma or a GED
  • Proficiency with Microsoft Office programs, including Microsoft Word, Excel and PowerPoint

Qualification Requirements:

  • Ability to sit/stand for long periods of time, bend and lift up to 25 pounds on an occasional basis.

Working Conditions:

  • Normal office environment with little exposure to excessive noise, dust, temperature and the like.
