Downtown Detroit office of major law firm seeks experienced legal administrative assistant to work in the Public Finance Department. Candidate must have excellent computer skills, including Microsoft Word, Excel and PowerPoint, and strong organizational and time management skills. Candidate should also be comfortable working with numbers, have the ability to multi-task, and work well within a team as well as independently. Experience in a transactional setting is preferred but not required. Excellent benefits package, salary commensurate with experience.
Essential Duties and Responsibilities:
Furnish administrative and secretarial support for multiple attorneys including, but not limited to:
- Assist in preparation of transactional documents, correspondence, disclosure documents and closings
- Input attorney time entry and review, prepare and edit complex client billings
- Filing in document management system
- Manage with maximum efficiency multiple attorneys’ practices and document management
- Ensure proper setup, management and billing of client files
- Manage client intake process
- Perform administrative tasks, such as opening files, processing check requests and expense reimbursements, maintaining department charts and records, making travel arrangements, and scheduling appointments
- Learn proprietary software or programs that may be in use in the department
Knowledge, Skills and Abilities Required:
- Provide high level client service by possessing and utilizing strong, interpersonal verbal and written skills with attorneys, staff and all levels of management, as well as the firm’s clients and external contacts
- Transactional legal experience preferred but will train the right person
- Thorough knowledge and use of technology, including Microsoft Office, PowerPoint, and Excel
- Keep abreast of practice area processes as appropriate to the position
- Take initiative to learn new skills that will contribute to enhanced performance
- Ability to organize and prioritize numerous tasks and complete them under time constraints
- Impeccable attention to detail
Education/Training/Experience:
- Minimum: High school diploma or a GED
- Proficiency with Microsoft Office programs, including Microsoft Word, Excel and PowerPoint
Qualification Requirements:
- Ability to sit/stand for long periods of time, bend and lift up to 25 pounds on an occasional basis.
Working Conditions:
- Normal office environment with little exposure to excessive noise, dust, temperature and the like.
